What a sourcing-fair stand has to do
ASFW visitors are buyers from brands, retailers and distributors who come to compare fabrics, finished garments and factories. They want to feel the material, see the range in depth and sit down to discuss prices, lead times and minimum orders.
For textile and apparel exhibitors we design long, well-lit display walls with swatch rails or folded-sample shelves, a few hero garments on forms, and a quiet table area for buyer meetings. For leather and footwear we add lockable display cases and focused spot lighting. Technology exhibitors with machines need floor loading, power and safe demonstration space planned early.
Stand-build timeline, counted back from 27 May 2027
These are VAV Grup planning milestones, not organiser deadlines:
- February 2027: stand number, size and product list; free pre-design within a few working days.
- March 2027: design approval and drawings for the organiser in the format the exhibitor manual asks for.
- March–April 2027: production and pre-assembly in Istanbul; graphics and display fittings.
- April 2027: sea or air freight to Nairobi, timed for customs clearance.
- Build-up days before 27 May: on-site installation by our crew, then dismantling after the show closes on 29 May.
What is confirmed, what is not
Confirmed by the organiser: the dates, Sarit Expo Centre, opening hours and product groups. Not yet public: hall plan, build-up and dismantling times, stand construction rules and drawing deadlines.
Logistics from Istanbul to Nairobi
We produce in Istanbul and usually ship by sea to Mombasa and then by road to Nairobi, or by air when time is short. Exhibition goods and stand materials normally travel under a temporary import route, such as an ATA Carnet where accepted, or a temporary import bond arranged by a Kenyan clearing agent. The exact procedure depends on the goods and is confirmed by your forwarder.
Fabric samples that will be given away or sold are not temporary imports, so list them separately on the packing list.
What to send for a free pre-design
- Stand number, size in m² and open sides.
- Product groups: fabrics, garments, leather, shoes or machines, with quantities to display.
- How many buyer meetings you expect and whether you need a closed room.
- Logo files, brand colours and photos of past stands.
- Budget range and target delivery date.

Can VAV Grup build my stand at ASFW Nairobi?
If your booking allows a custom stand, yes: we design and produce in Istanbul and install in Nairobi. We are not the organiser or an official contractor, so we follow the rules in your exhibitor manual.
Is a custom stand worth it at a sourcing fair?
For exhibitors who want buyer meetings rather than walk-by traffic, yes. A custom stand gives you proper sample display, storage and a meeting table, which most shell schemes cannot.
How do stand materials enter Kenya for the show?
Usually under a temporary import route (an ATA Carnet where accepted, or a bond arranged by a clearing agent) and re-exported after the show. Your forwarder confirms the procedure.
What does the free pre-design include?
A first layout and visual plus a written scope listing what VAV Grup designs, produces, ships and installs, and what remains with the organiser or other suppliers.
