Reviewed 28 October 2026 against the organiser’s website

The organiser’s website shows 12–14 May 2027 in Nairobi but does not name the 2027 venue, so this page separates what is confirmed from what is not. We do not have an office in Nairobi, and VAV Grup is not the organiser, or an appointed or official contractor, of the event.

GITEX Kenya 2027: what is confirmed and what is not

Planning a stand before the venue is confirmed

You can start before the hall is known. We begin with your approximate stand size, the products and demonstrations you want to show, and your brand, and prepare a pre-design that can be refitted to the floor plan once the organiser releases it. What we cannot do before the venue is confirmed is promise installation dates, ceiling heights, rigging options or power and network arrangements, because those depend on the hall.

Ask the organiser for the 2027 floor plan, stand packages and exhibitor manual as soon as they exist, and send them to us; we check the design against them before production.

What a technology stand has to do

A technology stand is usually a demonstration space as much as a brand statement. It tends to need an LED wall or screens that are bright without glare, demo stations with clean cable routes, reliable power and a network connection, lockable storage for devices, and a lead-capture point. Meeting pods and acoustic separation help when several demonstrations run at once.

For a space booking we can design and build a custom stand. For a pod, the organiser controls the format, so ask what branding or furniture changes it allows; we can prepare graphics or display elements to that brief.

Stand-build timeline, counted back from Wednesday 12 May 2027

These are VAV Grup planning milestones, not organiser deadlines. Until the venue and manual are confirmed they are a working assumption.

  1. 16–14 weeks before (20 January–3 February 2027): book your space with the organiser if you have not already; send us your size, products and brand files; we prepare the pre-design.
  2. About 12 weeks before (17 February 2027): floor plan and manual in hand, layout and drawings checked against the hall, design frozen.
  3. 10–7 weeks before (3–24 March 2027): production in Istanbul: counters, frames for screens, cable routes and graphics.
  4. 7–6 weeks before (24–31 March 2027): trial assembly with a dry run of the cable routes, then crating and packing lists.
  5. 6–5 weeks before (31 March–7 April 2027): dispatch by sea to Mombasa and by road to Nairobi; screens, devices and late items can go by air.
  6. Build-up days: as set by the organiser. Our crew installs and hands over the stand; dismantling follows the closing day, 14 May.

What is confirmed, what is not, and what is general practice

The organiser’s website confirms the dates, city, organiser and two booking routes. It does not yet publish the 2027 venue, stand sizes or prices, build-up dates, the exhibitor manual, approval deadlines or an appointed contractor, so we state none of those.

Logistics from Istanbul to Nairobi

The structure normally travels by sea from a Turkish port to Mombasa, with customs clearance at the port and road transport on to Nairobi. Air freight to Nairobi suits screens, devices and late items.

Technology exhibits need extra care. Demonstration hardware such as laptops, servers, robots and screens is high in value and usually needs an accurate serial-number list for a temporary import. Lithium batteries are regulated dangerous goods for air transport and must be declared. LED panels need rigid crating and insurance.

Customs clearance in Kenya is normally handled by a licensed clearing agent. Whether an ATA carnet is accepted, or another temporary-import procedure with a security or bond applies, must be confirmed with that agent before anything ships; please do not assume.

What to send for a free pre-design

  1. Approximate stand area in m², open sides, and whether you book a space or a pod.
  2. The floor plan and venue name, as soon as the organiser confirms them.
  3. Logo files (vector if possible), brand guide and visuals for the screens.
  4. Your demo list: devices, screens, demo stations, and power and network needs.
  5. Meeting needs, team size, and how you plan to capture leads (QR codes, badge scanners or tablets).
  6. Budget range and the date by which you must decide.

Incomplete information is fine; we list the open points. The free pre-design is a first layout and visual direction that lets you judge the idea before you commit. It is not a final quotation or production drawing, and it does not replace the organiser’s approval.
