Which stand format are you on?
The organiser’s stand packages page lists four formats, and what we can do depends on which one you booked.
- Standard or enhanced shell scheme: the organiser supplies a shell booth and name board. The standard package lists a round table, two chairs, a lockable counter, two spot lights and one 13 amp socket; the enhanced package adds a raised branded fascia, higher-quality furniture and a brochure holder. We cannot rebuild a shell, but we can add branded graphics, display units and furniture within what the organiser permits.
- Space-only: the organiser describes this option as suited to exhibitors who want to custom-build their stands. This is where VAV Grup designs, produces and installs a complete stand.
- Pavilion: a modular structure with optional extras such as branding and furniture. Changes are for the pavilion organiser to approve, so ask before briefing us.
What a Propak stand has to do
Propak East Africa is a show of machines, materials and finished packaging. Visitors want to see equipment running, handle a pouch, bottle or film, and talk about throughput and service. That shapes the stand: a platform that spreads the weight of a machine, clear access for delivery, power, compressed air or water where the machine needs them, a sample wall that shows print and colour honestly, and a meeting table away from the noise.
Tell us each machine’s footprint, weight and utilities early. Floor loading, door sizes, lifting equipment and utility connections must be confirmed with the organiser and the venue before anything ships, and we will not draw a machine into a plan until they are.
Stand-build timeline, counted back from Tuesday 2 March 2027
These are VAV Grup planning milestones, not organiser deadlines. The 16-week mark falls on 10 November 2026, so a custom stand needs a brief this month or next.
- 16–14 weeks before (10–24 November 2026): brief, floor plan, machine list and sample list from you; free pre-design and budget direction from us.
- 13–12 weeks before (1–8 December 2026): design frozen, drawings and material list prepared. If the organiser’s manual asks for design approval, we submit by the date it states.
- 11–8 weeks before (15 December 2026–5 January 2027): production in Istanbul. The year-end holidays slow suppliers and offices on both sides, so we start early.
- 8–7 weeks before (5–12 January 2027): trial assembly, snagging, crating and packing lists.
- 7–6 weeks before (12–19 January 2027): dispatch by sea to Mombasa. Customs clearance and road transport to Nairobi follow; key items can go by air if the schedule slips.
- Build-up days: as set by the organiser. Our crew installs and hands over the stand; dismantling follows the closing day, 4 March.
What is confirmed, what is not, and what is general practice
The organiser’s public pages confirm the dates, venue, organiser and the four stand formats. They do not publish build-up and dismantling dates, height limits, design-approval requirements, deadlines or an appointed stand contractor, so we state none of those.
Logistics from Istanbul to Nairobi
Sea is the usual route for a full stand: container from a Turkish port to Mombasa, customs clearance at the port, then road transport to Nairobi. It needs the longest lead time. Air to Nairobi’s Jomo Kenyatta International Airport suits late graphics, samples and small items.
Customs clearance in Kenya is normally handled by a licensed clearing agent; ask the organiser about a preferred freight partner. Goods that return to Turkey after the show are normally cleared on a temporary basis. Whether an ATA carnet is accepted, or another temporary-import procedure with a security or bond applies, must be confirmed with that agent before shipping; please do not assume. List machines and heavy samples with weights and dimensions so handling can be planned.
What to send for a free pre-design
- Stand number, size in m², open sides and the format you booked (shell scheme, space-only or pavilion).
- The floor plan, or a screenshot of your space from the organiser.
- Logo files (vector if possible) and brand colours.
- For each machine: footprint, weight, and power, air and water needs; for samples: size and number.
- The zones you need and how many people will staff the stand.
- Budget range and the date by which you must decide.
Incomplete information is fine; we list the open points. The free pre-design is a first layout and visual direction that lets you judge the idea before you commit. It is not a final quotation or production drawing, and it does not replace the organiser’s approval.

Who builds custom stands at Propak East Africa 2027?
Exhibitors on a space-only package custom-build their stands, and VAV Grup can design, produce and install yours. We are not the organiser or an appointed or official contractor of the show.
Do you have an office in Nairobi?
No. We design and produce in Istanbul and deliver and build on site in Kenya.
Can you improve a shell scheme stand?
Within what the organiser permits, yes: branded graphics, display units and furniture. Ask the organiser which changes to the shell are allowed before we draw them.
Is it too late to start?
Not yet, but the schedule is tight for a sea-freighted custom build. If your space is confirmed, send the details this month. If the timeline no longer works, we will say so and suggest a smaller option.
How much does a stand cost?
We do not publish prices, because size, materials, lighting, equipment and logistics change the result. We send a written scope and quotation after seeing your information.
